Voncap Training Recruitment is the data controller responsible for the personal information you submit on this website. That means we decide how and why your data is used.

When you register your interest in our programmes, we collect:

• Identity details — first name, last name, date of birth
• Contact details — email address and phone / mobile number
• Location — postcode
• Eligibility information — UK/EU residency and employment status
• Any support needs or notes you choose to share with your tutor
• Your consent to process this information for enrolment and awarding body registration

Your registration information is stored in our customer relationship management (CRM) system, which acts as a data processor on our behalf. The CRM is used to record your enquiry, confirm your funding eligibility, allocate a tutor, and manage your enrolment and awarding body registration.

The CRM provider may process and store this data on servers located outside the UK and EEA. Where that happens, we rely on the safeguards set out in UK GDPR Article 46 (such as standard contractual clauses) to keep the transfer lawful and your data protected to a UK equivalent standard.

We use your personal data to:

• Check your eligibility for a 100% fully funded course place
• Contact you about your application by email, phone, message or WhatsApp
• Complete enrolment and register you with the awarding body
• Deliver, assess and certificate your course

Our legal bases for processing are:

• Consent — you tick the consent declaration on the registration form
• Contract — processing is necessary to take steps before entering into a learning agreement with you

We keep your registration information for as long as is necessary for the enrolment, funding and certification purposes described here. We will delete your data automatically 12–24 months after your account has become inactive, except where the law requires us to keep specific records (for example, audit or funding-evidence purposes).

You can also request earlier deletion at any time by emailing IR@voncaprecruitment.co.uk.

Because the CRM provider may host data outside the UK and EEA, your personal information may be transferred internationally. We only permit such transfers where appropriate safeguards are in place to ensure your data is protected to a standard equivalent to UK GDPR, and we only share the data described in this notice — never more than is needed to administer your course.

Under UK GDPR you have the right to:

• Access — ask for a copy of the data we hold about you
• Rectification — correct anything that is inaccurate or incomplete
• Erasure — ask us to delete your data
• Restriction — ask us to limit how we use your data
• Data portability — receive your data in a reusable format
• Object — to processing based on your consent or legitimate interests

You also have the right to withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing before it was withdrawn.

If you are unhappy with how we handle your data, you have the right to complain to the Information Commissioner’s Office (ICO), the UK’s independent data protection authority. You can contact the ICO at ico.org.uk or by calling their helpline. You also have the right to complain to us first — and we will always try to resolve it directly.
